How Much Does AI Automation Cost for a Small Business?

AI automation for a small business costs anywhere from £20 a month to £10,000+ for a full done-for-you build, depending on how you approach it. This post breaks down exactly what you get at each price point, what the numbers actually mean for your business, and how to decide which path makes sense.

Why this question is hard to answer (and why most sites dodge it)

Most articles about AI costs either go vague or only talk about enterprise software licences. Neither is useful if you run a £500k–£3m business and you just want to know: is this worth it, and what will it cost me?

So here are the real numbers.

The base cost: Claude Pro subscription

If you want to use Claude as a business tool, not just a chatbot you paste questions into, you need a Claude Pro subscription. That is $20 a month (roughly £16).

That gets you access to Claude’s full model, higher usage limits, and Claude Code, which is the command-line version that can read files, write code, and run tasks directly on your computer.

$20 a month is the floor. Everything else in this post is optional.

What you can do for free (or near-free)

Before spending anything else, you can:

  • Use Claude to draft emails, proposals, and client reports
  • Create templates and standard operating procedures
  • Write job descriptions, onboarding documents, and internal guides
  • Generate social content, blog drafts, and email sequences
  • Answer customer FAQs, summarise meeting notes, and triage your inbox

None of that requires anything beyond the £16 subscription.

The limitation is that it is manual. You open Claude, type a prompt, get an output, copy it somewhere. Every time. It does not remember your business from one session to the next. It does not run on its own. And it does not connect to your systems.

That works fine for a business owner who wants to save an hour or two a week on writing tasks. It is not enough if you want AI to actually run parts of your operation.

The next level: a Claude brain

This is where the economics start to shift.

A Claude brain is a set of files that live on your computer and load into Claude every time you use it. It contains your business context, your brand voice, your client information, your processes, and your team of AI employees, each with their own roles and skills.

Instead of starting from scratch every session, Claude already knows who you are, what you do, and how you like things done. You stop explaining. You just work.

If you want someone to build the automation for you, here is what you should expect to pay.

Small automation agency or freelancer: £1,500–£3,000 for a scoped project. This might be one workflow automated end-to-end, a client onboarding sequence, or an automated reporting system. Delivery in 2-4 weeks.

Established automation consultant: £3,000–£6,000 for a broader build covering multiple parts of the business. This is closer to what a business at £1m+ revenue would spend to get meaningful operational coverage.

Enterprise AI build: £10,000–£50,000+. Not relevant here. If you are reading this, you are not in that bracket.

The comparison that matters: what does NOT automating cost?

Here is the maths I use with business owners before we talk about any spend.

If you or a senior team member spend 15 hours a week on tasks that AI could handle, and your time is worth £75 an hour (a conservative figure for an owner-led business at £500k+ revenue), that is £1,125 a week in manual capacity.

Over a year, that is £58,500.

That is not what you are paying in wages. That is what those 15 hours a week are worth in billable capacity, client delivery, or strategic work you are not doing because you are buried in admin.

A £3,000 build that recovers 10 of those hours a week pays for itself in under a month. A £20 subscription that recovers 2 hours a week pays for itself in an afternoon.

The question is not whether AI automation costs too much. The question is what manual operations are already costing you.

Hidden costs to factor in

A few things that do not always appear in the headline price.

Your time to set it up. Even a done-for-you build needs input from you. Expect to spend 2-4 hours on a discovery call and review session. Budget for it.

Integration complexity. If you want AI to talk to your CRM, your accounting software, or your project management tool, you need those connections set up. Some are straightforward. Some require a developer for an afternoon. This is usually a one-time cost.

Maintenance. Automations need updating when your processes change. A brain you build yourself is easy to update yourself. A bespoke build might need the original developer if something breaks.

Claude usage costs. If you are running high-volume automations, Claude Pro’s limits might not be enough. Claude’s API pricing kicks in at that point. For most small businesses, Pro is sufficient.

How to decide which option is right for you

Three questions.

Do I need to pay for API access on top of Claude Pro?

Not for most small business use. Claude Pro covers Claude Code and the full model. API pricing only applies if you are building software that calls Claude programmatically at scale.

Is there a free trial for Claude?

Claude has a free tier with limited usage. It is not enough to run a brain properly, but it is enough to test whether Claude suits the way you work before committing to the subscription.

What does a brain build actually include?
